TMTA Accounting Assistant responsibilities

(Estimated 10 hours per week)


  • Process online credit card payments- record in shared Excel file and enter deposits in QBO.  Update shared Student Affiliate activities Excel files in Dropbox. 


  • Reconcile Chase Bank accounts. Report any long-outstanding checks to VPBA
  • Process monthly Form 941 payroll tax payable to IRS
  • Review QBO accounts detail
  • Prepare monthly budget reports for officers


  • Process quarterly Form 941 payroll tax report
  • State sales tax payment to state of Texas – calculate amounts, process report and payment of state website and enter payment in QBO


  • Annual Safe Harbor 401(k) employer contribution – assist VPBA (January)
  • W-2’s for employees (January)
  • 1099’s – checking for correctness of information in QBO, print and mail to recipients, mail to VPBA for signature and mailing (January)
  • Year-end accounting adjustments (October)
  • Year-end investment reconciliations and journal entries (October)
  • Balance Sheet and Revenue/Expense reports preparation for audit and checking audited financial statements before finalizing (November/December/January)
  • Prepare key numbers for IRS Form 990’s for auditors and checking 990’s before filing (January)

As Needed

  • Journal entries for adjustments in QBO
  • Handle voided checks
  • Financial reports for Board
  • Assist VPBA with data entry for student award checks (May/June)
  • Assist VPBA with annual convention hotel expense breakdown (June)
  • Assist VPBA to create budget for new fiscal year (July/August)
